Getting set up
- What do I need before I start?
- A customer list you can export as a CSV, and a decision about what a referral is worth. That's it — ReferXpert handles message delivery and payouts, so there are no API keys to collect.
- What columns does the import need?
- A first name, plus either an email or a phone number. Everything else — last name, city, tags, last job value — is optional and improves targeting later. ReferXpert guesses your column mapping and lets you correct it before anything is saved.
- What if I import the same list twice?
- Existing customers are matched on email and phone, so re-importing updates your view rather than creating duplicates. The import summary tells you how many were added, how many already existed, and which rows were skipped.
Campaigns
- Will messages come from my business or from ReferXpert?
- Yours. Message copy carries your business name, and email replies route to the address on your company profile.
- Can I send to only part of my list?
- Yes. Tags come across on import, and a campaign can target a single tag instead of everyone.
- How do opt-outs work?
- Marking a customer opted out removes them from every future send automatically. They stay in your customer list for reporting, but ReferXpert will not message them again.
Rewards and payouts
- When is a reward created?
- The moment you mark a referral Won and enter the job value. ReferXpert checks the job clears your minimum, calculates the amount against your offer, and shows its working.
- Can a referral be paid twice?
- No. A referral can only ever produce one reward, enforced by a uniqueness constraint in the database rather than a check in the interface. Re-saving a status change cannot double-pay.
- Do I have to approve each payout?
- By default, yes — rewards land in a queue and you release them. You can switch your offer to automatic approval if you'd rather they go out the moment a job is won.
- Who funds the reward?
- Your business does. The ReferXpert subscription covers the software; the reward itself is your money going to your customer. You only ever pay one on a job you actually won.
